Week 7- IMPROVE
So far, the only real area that may need improvement is the media kit (as far as who is in charge of putting together the posters and postcards for the organization.) Currently, the organization is trying to recruit and promote for two marathons and two running groups. This means we have informational meetins across the state to give out more extensive details on what the marathons entail, etc. Unfortunately, we have come across several issues when it comes to having the necessary information on our posters and postcards. Information that is lacking is essential contact numbers, times that meetings will be taking place and crucial email addresses. In my opinion, this is imperative information that someone needs at FIRST GLANCE. In school I learned about eh drastic importance of various problem solving strategies to help eliminate any confusion when it comes to relaying integral information. If I was "boss" I would give this responsibility solely to ONE person. I think the current issues right now is that too many people are in charge of making a single advertisement. This makes the situation cluttered, messy and filled to the rim with not-so-necessary info. I am a first beleiver in "Keeping it Simple"...this makes people want to read it. Think about it, when someone sees a lengthy paragraph or more of writing, more likely then not they will want to look away. Bullet points are key; they are eye catching, substantial and to hte point. If I had the authority to make this happen I would call a meeting specifically for the purpose of discussing marketing techniques and layouts. I would then assign one or two people maximum to be in charge of composing draft posters, ads and postcards. They would then be printed and end up on my desk where I would proof read them to ensure that only the most necessary information was in fact on it! It would save us time and money the first time around rather then having to reprint and pay for it later with a lack of attendees at mtngs due to insufficient information presented to them, or because we had to go out and buy stamps and spend the time stamping each postcard; this is time that could be spent at or planning events, meetings and everything else in between.

ReplyDeleteIt understand where you are coming from when you say that your company could get a lot more done if they were better organized. I too came up with an organization solution to my internship’s improvements. Sometimes it takes an outsider to come in with a pair of fresh eyes and observe how things are being done. We can get caught up in the monotony of the day-to-day routine and lose sight of why we do things a certain way or who even decided it was a good idea in the first place. Its good to see that you are looking out for your organization to improve and become more financially efficient, time efficient, and productive at the same time. By spending a little time organizing sheets with contact information and designating specific people to do each task makes the final product easier to proof and get sent out or changed immediately. This system is similar to the design fields. In any design project there are several people involved in a single job and they have to work efficiently individually to collaborate in the end to make a cohesive plan. The head boss reviews the drafts and approves or disapproves of each specific section. This can also help to point out the blame if something goes wrong or identifies who to contact in order to fix the problem. I am sure if your organization implemented your proposal they would see the results and adopt the policies. : )

ReplyDeleteFrom the sounds of it, it sounds like the area where your company needs most improvement is in it’s marketing and advertising skills. In order to promote for upcoming marathons and running groups, it is necessary to have certain people and groups that will promote this information. I agree with what you have to say about the lack of information that is appearing on the postcards and posters. Enough legitimate information is lucrative in making sure it stands out and will draw attention to potential people interested in the company and marathons. “Keeping it Simple”, like you said, is something I definitely agree with. When there is too much information, it makes it cluttered and hard to get your point across. But when you focus on the information that matters most and make it stick out, this will help get to the point and draw attention of those who are interested. With one of my areas concentrating in business, I have taken multiple marketing classes where this could be an issue. I think your take on this problem is great and would result in much success for marketing your company!

Hello again Alicia, its Rachel DePietro again, congratulations with all of your work it see that things are going amazing at your internship. First I would like to say it has been very interesting watching how things are progressing for you and it has been wonderful learning about the new and exciting things you are doing at Chances for Children. It seems that communication is a little bit of a struggle in some of the areas at your working when it comes to the Media Packets. For this I totally understand my company has the same problems. It seems that we know the how, the why, and the where, but not the when. Sometimes I think companies and employees get over zealous and get twenty steps ahead in one area and then realize that the forgot a very important part. At are company we want so much to get everyone in the community informed early and be on the game, but we forget that it is so far out we don’t have all the information that is need to inform people properly. Which, this seems to be the case somewhat for your company as well. Your ideas of keeping things simple and assigning specific jobs are huge in managing communication in the company and helping the projects flow. I think the ways you have chosen to control the situation are strong and purposeful; they help give creative input and output, while setting up strong communication outlets. Congratulation again on all your hard work and I hope everything continues to go smoothly and that you continue to enjoy what you are working towards. Good luck in these final weeks.
